Project / Procurement Coordinator

Full-Time

A Project Coordinator brings design visions to life through administrative expertise, order placement, installation coordination, and detailed communication with clients, vendors, and specialty trades. As a Project Coordinator, you will be an integral support to the Design Team—ensuring our projects progress smoothly, accurately, and with the elevated level of service our clients expect.

This role is operational and coordination-focused rather than a creative design position.

Project Coordination & Workflow Responsibilities

§  Create and maintain project timelines, installation schedules, and weekly action lists for multiple high-end residential projects, ensuring tasks and sequencing remains on track.

§  Collaborate closely with the design team and production team to translate design intent into clear, actionable steps.

§  Track milestones and anticipate project needs, keeping a proactive approach to potential issues or delays.

§  Maintain organized project documentation and ensure details are accurately captured in Studio Designer.

Procurement, Order Processing & Tracking

§  Oversee the full lifecycle of FF&E procurement, including updated pricing and lead times, purchase order review and placement, shipment tracking, and warehouse receiving.

§  Coordinate with vendors, workrooms, and fabricators to confirm timelines, resolve issues, and address damaged items.

§  Maintain procurement documentation in Studio Designer and provide weekly order-status updates to the team.

Construction & Site Coordination

§  Collaborate with contractors, subcontractors, and trades to ensure they have clear guidance on project details, specifications, and design expectations.

§  Monitor construction sequences and communicate schedule impacts early.

§  Photograph and document site conditions for team review and client updates.

Installation & Quality Control

§  Plan installation sequencing and coordinate delivery logistics with warehouses and installers.

§  Create punch lists, track resolutions, and ensure items are completed to the company’s standards.

§  Visit the receiving warehouse to inspect delivered furniture, verify condition, and ensure accuracy prior to installation.

Qualifications

§  3–6 years of experience in project management within an interior design studio, architecture firm, or high-end residential construction environment preferred.

§  Strong understanding of luxury residential design standards and the level of precision, service, and discretion required.

§  Exceptional organizational skills with the ability to manage multiple complex projects simultaneously.

§  Strong command of scheduling, procurement workflows, and contractor/trade coordination.

§  Experienced in AutoCAD and familiarity with Studio Designer or similar software are a plus.

§  Experience with site visits and coordinating directly with contractors and specialty trades.

§  Calm, solution-oriented mindset; able to remain composed under pressure.
